Privacy Policy
VetAI conducts AI-powered voice interviews and produces scores, transcripts, and recommendations to help employers make hiring decisions. This policy explains what personal information we handle, why, and the rights you have. This is general information, not legal advice.
Automated decision-making (ADM)
VetAI uses automated systems to interview candidates and generate scores. Under APP 1.7 (effective 10 December 2026), we state in plain language:
- We use automated systems. An AI interviewer conducts a live voice conversation and scores responses.
- Kinds of personal information used: your spoken answers, the live video feed, transcripts of your answers, and proctoring signals (tab switches, focus loss). We do not score typing speed, response latency, or answer-editing behaviour.
- Kinds of decisions made: a competency score, a hire recommendation, and flagged answers for recruiter review.
- Human decision point: the AI score is advisory only. No adverse outcome (e.g. rejection) is sent without a recorded human decision. A recruiter must review the transcript before rejecting a candidate, and every score override is logged with a reason.
- Biometric checks (if used) require standalone consent and a non-biometric manual alternative. Biometric images and templates are deleted once the check resolves.
Cross-border disclosure (APP 8)
Your information may be processed outside Australia by these recipients:
- Hosting (Base44): cloud infrastructure. Processing region: documented per workspace.
- AI model provider: transcription and scoring. Processing region: documented per workspace.
- ID verification vendor: if biometric checks are enabled. Processing country is stated in the standalone biometric consent step.
Where information is disclosed overseas, VetAI remains accountable for how recipients handle it and requires APP-8-compliant clauses in each vendor agreement. If your organisation requires onshore processing, contact us before enabling the relevant integration.
Retention
- Biometric images and templates: deleted once the check resolves.
- Raw video and audio: deleted 30 days after the interview.
- Transcript and score: retained for 24 months (the discrimination-claim window), then deleted.
- HRIS field-access logs: append-only.
Your rights (APP 12 & APP 13)
You can access the personal information we hold about you, ask us to correct it, or request deletion. Use the "Request access to my data" link provided after your interview, or contact us using the details below.
- Access (APP 12): self-service export of your answers, scores, and AI notes.
- Correction (APP 13): request a correction; we record what was corrected and by whom.
- Complaints: you can complain to us, or to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Data breaches
VetAI follows the Notifiable Data Breaches (NDB) scheme. We assess suspected eligible breaches within 30 days of becoming aware and notify the OAIC and affected individuals where required. A documented response runbook is maintained internally.
